HEALTH & SAFETY POLICIES

IN-PERSON MEETINGS AND EVENTS

Updated April 18, 2022

HESI is committed to providing a safe and productive meeting setting for all of our attendees. Therefore, in accordance with CDC guidelines, the following policies have been implemented until further notice:

  • If You Are Not Feeling Well
  • Vaccinations
  • Vaccination Verification Process
  • Masking Guidelines
  • Testing

If you are not feeling well

If you feel sick or are currently positive for COVID-19, please do not attend the meeting in person. Remote participation options are available to help protect you and the health of others.

Vaccinations

The following policies will be in effect for individuals who enter HESI meeting venues:

  • We require that all attendees and speakers be fully vaccinated and to submit proof of vaccination with their registration.
  • We require that all HESI employees be fully vaccinated and to submit proof of vaccination.

We are using the definition of “fully vaccinated” as established by the CDC and/or equivalent health authority in your region. While we are not requiring that all attendees receive a booster vaccine, we are strongly encouraging all attendees to be boosted.

Only individuals who submit proof of vaccination will be permitted to attend the in-person HESI events. Unvaccinated individuals (including those with medical or religious exemptions) may not attend the in-person meeting. These individuals may still participate by registering for the virtual option.

Vaccine Verification Process

HESI will provide all meeting registrants and speakers with a link to provide evidence of proof of vaccination. We recognize that vaccination documentation differs globally, and we will be flexible in accepting documentation provided.

Masking Guidelines

While it is no longer required in Washington, DC or by the CDC, we strongly recommend that all speakers, attendees, and staff wear a mask while attending HESI events in shared indoor spaces if sufficient social distancing is not feasible. Masks may be removed briefly while eating or drinking.

Testing

PCR testing and/or rapid testing is not required prior to participation in HESI events. However, these are important tools to help stop the spread of SARS-CoV-2 and we are supportive of their use by participants wishing to do so. If a participant has traveled to attend a HESI meeting and tests positive prior to a session, you may contact us for information on how we can help support you during the requisite isolation period. We request that any participant who has a current positive rapid COVID test should not attend the meeting in person.
